Smart Worker ("we," "our," "us," or "the App") is developed and operated by Smart Worker ("the Company"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application Smart Worker (the "App"), designed to help organizations manage attendance, human resources, shift scheduling, and maintenance activities.
By using Smart Worker, you agree to the collection and use of information in accordance with this policy. If you do not agree with this policy, please do not use the App.
1 Information We Collect
1.1 Information You Provide
- Account Information: Name, email address, phone number, employee ID, and job role, provided by you or your employer/organization during account setup.
- Employment Data: Attendance records, shift schedules, HR-related information (such as leave requests and approvals), and maintenance task records entered or generated through your use of the App.
1.2 Information Collected Automatically
- Camera Data: Smart Worker uses your device's camera to capture facial images for the purpose of face-recognition-based attendance verification. Facial images may be processed to confirm identity at the time of check-in and check-out.
- Location Data: Smart Worker collects precise location data, including background location, to verify your presence at designated work or job sites during check-in, check-out, and while an active work session is in progress. Background location access allows the App to continue tracking work session location even when the App is not actively open.
- Device Information: Device model, operating system version, unique device identifiers, and app version, collected for diagnostic, security, and compatibility purposes.
- Usage Data: Information about how you interact with the App, including feature usage, session duration, and crash/error reports, used to improve app performance and reliability.
1.3 Information from Your Organization
Because Smart Worker is used within an employer/organizational context, your employer or organization administrator may input or upload additional data about you into the system (such as HR records, shift assignments, or maintenance task assignments) via our backend systems. This data is controlled by your organization, and Smart Worker acts as a data processor on their behalf.
2 How We Use Your Information
We use the information described above to:
- Verify employee identity and attendance through face recognition
- Confirm accurate check-in/check-out at designated work locations
- Track and display work session duration and location history
- Manage HR-related workflows, including leave, approvals, and employee records
- Organize and display shift schedules
- Log, assign, and track maintenance tasks and requests
- Maintain and improve the security, stability, and performance of the App
- Communicate with you regarding your account, app updates, or support requests
- Comply with legal obligations and enforce our terms of use
We do not use your personal data for third-party advertising, and we do not sell your personal data to any third party.
3 Data Sharing and Disclosure
We share your information only in the following circumstances:
- With Your Employer/Organization: Attendance, HR, shift, and maintenance data collected through the App is shared with your employer or organization, as the App is designed for workforce management purposes on their behalf.
- Service Providers: We may share data with trusted third-party service providers who perform services on our behalf (such as cloud hosting, backend infrastructure, crash reporting, and analytics), under contractual obligations to protect your data and use it only for the purposes we specify.
- Legal Requirements: We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or to protect the rights, property, or safety of Smart Worker, our users, or others.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to standard confidentiality arrangements.
We do not share facial recognition data or location data with any third party for marketing or advertising purposes.
4 Data Storage and Security
- Your data is stored on secure servers with industry-standard security measures, including encryption in transit and access controls.
- Facial recognition data is processed for verification purposes and is retained only as necessary for attendance verification, in accordance with your organization's data retention policies.
- Access to your personal data within our systems is restricted to authorized personnel who require it to perform their job functions.
- While we take reasonable measures to protect your data, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
5 Data Retention
We retain your personal data for as long as necessary to provide the App's services to you and your organization, comply with our legal obligations, resolve disputes, and enforce our agreements. Retention periods may vary depending on your organization's internal policies. When data is no longer needed, it is securely deleted or anonymized.
6 Your Rights and Choices
Depending on your location and applicable law, you may have the following rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you.
- Correction: Request correction of inaccurate or incomplete data.
- Deletion: Request deletion of your personal data, subject to your organization's records retention requirements.
- Restriction/Objection: Request that we restrict or stop certain processing of your data.
- Withdrawal of Consent: Where processing is based on consent (such as camera or location access), you may withdraw consent at any time by adjusting your device permissions. Note that disabling camera or location access may limit or prevent your ability to use certain features of the App, such as attendance check-in.

7 Camera and Location Permissions & Permission Dialogues
Smart Worker requests the following device permissions for core workforce operations:
- Camera: Required for face-recognition-based attendance verification at check-in/check-out.
- Location (Always / Background): Required to track active work sessions accurately and verify geofence boundaries while an active duty session is in progress, including while the app is running in the background.
- Location (When In Use): Required to show nearby assigned job sites and to verify check-in/check-out geolocation.
7.1 Pre-Permission Educational Screen & Neutral Actions
Prior to triggering native iOS system permission dialogues, Smart Worker presents an educational screen informing the user why location access is required. To proceed from this informational notice, users tap neutral navigation buttons clearly labeled "Continue" or "Next". The app does not direct or compel users to allow permissions, and users retain complete choice to proceed or adjust location settings in iOS Settings at any time.
8 Modular Architecture & Continuous Version Releases
Smart Worker is built on a modular enterprise architecture. Features and operational modules (including Biometric Attendance, Geofencing, Task Timesheets, Helpdesk, Shift Scheduling, Expense Management, and Maintenance) are deployed and upgraded progressively across continuous app version releases (e.g., Version 1.0, 1.1, etc.). Each version update delivers expanded capabilities and enhanced module integration.
9 Children's Privacy
Smart Worker is a business/workforce management tool intended for use by employees and personnel of registered organizations. It is not directed at, nor intended for use by, children under the age of 16. We do not knowingly collect personal data from children. If we become aware that we have inadvertently collected data from a child, we will take steps to delete such information promptly.
10 International Data Transfers
If you access the App from outside the country in which our servers or those of our service providers are located, your information may be transferred across international borders. We take appropriate steps to ensure your data is protected in accordance with this Privacy Policy, regardless of where it is processed.
11 Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify users of material changes by updating the "Last Updated" date at the top of this policy, and, where appropriate, through in-app notifications. Continued use of the App after such changes constitutes your acceptance of the updated policy.
